Secure Electronic Document Sharing

The review of records and procedures is an integral part of all routine and for-cause inspections of the food and medical products industries.  These industry documents often contain trade secrets and/or confidential business information and must be handled in a secure manner to prevent sensitive information from being disclosed.  The SecureDoc application has been developed to allow for the secure, remote review of documents that must be reviewed and evaluated for compliance as part of an inspection or focused remote regulatory assessment. The application allows the regulated firm to control how long the regulatory program has to review the materials and allows them to restrict the ability to copy, save, or download any of the documents from the application – creating a tool that only allows review of the uploaded materials by authorized individuals.

The SecureDoc site is accessed similarly to the way regulatory programs currently access FoodShield, and does not require any software or downloads to the agency’s servers or networks.  As a stand-alone system that allows secure document review, it will also not interact or interface with any state or federal inventory database systems.  The application is designed to allow the regulated firm to upload procedures and documents requested by the regulatory agency to a secure government cloud that utilizes federal-level encryption and compliance standards. The system supports most data and picture file formats, such as .pdf, .doc, .xls, .jpg, .bmp, etc..

AFDO is pleased to offer the SecureDoc application for use by food and medical product regulatory programs to remotely review electronic documents that have been uploaded by the regulated industry.  AFDO hopes that the use of this application will eventually reduce on-site inspectional time, travel costs due to multiple return trips to a facility, and per diem costs for overnight stays necessary to complete distant inspections.
